About the Role This pivotal role is to serve as the Personal Assistant and right-hand support, and is based in Hong Kong. The PA is essential for maintaining the executive's professional and personal efficiency, acting as a crucial gatekeeper, strategic organizer, and partner. We require an exceptionally proactive, discreet, and highly organized individual capable of anticipating needs and managing a dynamic, fast-paced international schedule with flawless execution. Key Responsibilities Administrative • Manage a complex and dynamic calendar, scheduling all business and personal appointments, meetings, and travel, ensuring all materials are prepared in advance. • Act as the primary point of contact, screening and prioritizing all incoming communications (emails, phone calls, correspondence) and responding professionally on the Executive's behalf when appropriate. • Prepare, edit, and proofread professional correspondence, reports, presentations, and internal communications. • Maintain highly organized digital and physical filing systems, ensuring all sensitive information is handled with absolute confidentiality. Personal Support & Errands • Handle various personal matters, errands, and private appointments with discretion and efficiency. • Coordinate special projects and events (both corporate and private) from initial planning through execution. • Serve as the primary communication liaison, coordinating activities and managing relationships with a broad range of private and professional service partners. Qualifications • Mandatory: 2 to 3+ years of experience as a Personal Assistant, Executive Assistant, or equivalent role supporting a senior-level executive in a demanding environment. • Essential: Must be legally eligible to work in and based in Hong Kong, with excellent knowledge of local services and logistics. • Language Proficiency: Excellent command of written and spoken English and Cantonese is required. • Technical Skills: High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with calendar and travel management software. • Key Attributes: • Discretion & Confidentiality: Absolute reliability in handling sensitive professional and personal information. • Proactive: Ability to anticipate needs, foresee potential issues, and implement solutions. • Organizational Mastery: Exceptional time management, organizational, and multitasking skills with keen attention to detail. • Adaptability: Proven ability to remain calm and effective under pressure and during last-minute changes.
