Scheduling Coordinator

The Scheduling Coordinator plays a vital role in managing and maintaining caregiver schedules to ensure clients receive consistent, high-quality care while acting as the primary point of contact for caregivers and clients regarding scheduling needs. Responsibilities Develop, maintain, and update caregiver schedules to ensure all client needs are met Match caregivers with clients based on skills, experience, location, and client preferences Ensure continuity of care by minimizing changes in caregiver assignments whenever possible Adjust schedules promptly in response to call-offs, client changes, or emergencies Track caregiver availability, preferences, and restrictions in scheduling software Act as the main liaison for caregivers regarding schedules, shift confirmations, and changes Communicate promptly with clients and families regarding any changes in caregiver schedules Provide professional, courteous, and compassionate customer service to clients, families, and staff Collaborate closely with the team to ensure client care plans are fully supported Maintain accurate and up-to-date schedules in agency systems Ensure compliance with state, federal, and Visiting Angels policies regarding caregiver assignments Document caregiver call-offs, tardiness, or availability changes for performance records Assist with timesheet and payroll verification by confirming shifts worked Work closely with recruiters and HR to understand caregiver staffing levels and availability Provide feedback to management regarding caregiver performance or recurring scheduling issues Participate in after-hours or on-call scheduling rotation, if required Skills Previous experience in scheduling, staffing coordination, or office administration Strong organizational and multitasking abilities Excellent communication and interpersonal skills (both verbal and written) Proficient in scheduling software, Wellsky (formerly ClearCare), and basic computer applications Ability to remain calm under pressure and resolve scheduling conflicts quickly Compassionate, patient, and professional demeanor when working with seniors and caregivers Experience in home care, healthcare, or senior services Benefits Bonuses Commission Benefits PTO Company Overview Visiting Angels Columbus West is a well-established home care agency located in the heart of Clintonville (Beechwold area) that has been proudly serving Columbus, Ohio, and its western suburbs for over 20 years.
