Description The Maximo Utility Working Group is looking for a proactive and detail-oriented Virtual Assistant to support our operations and enhance productivity across various teams. As a Virtual Assistant, you will be responsible for managing administrative tasks, coordinating schedules, handling communications, and providing general support to ensure efficient workflow within the organization. Your ability to multitask effectively and maintain organization in a fast-paced environment will be essential to your success in this role. You will work closely with team members to facilitate project management, organize files and documents, and assist in preparing reports and presentations. The ideal candidate should be tech-savvy and comfortable using various online tools and platforms. Responsibilities • Manage and organize daily schedules, appointments, and travel arrangements for team members. • Handle incoming communications, including emails and phone calls, ensuring timely responses. • Assist in project management by coordinating tasks and tracking deadlines. • Prepare and format documents, reports, and presentations as required. • Maintain organized digital files and records to support team efficiency. • Conduct research and gather information to assist with various projects and initiatives. • Provide general administrative support, including data entry and maintaining databases. Requirements • High school diploma; associate or bachelor's degree preferred. • Proven experience as a Virtual Assistant or in an administrative role. • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools. • Excellent organizational and multitasking skills with keen attention to detail. • Strong verbal and written communication skills. • A self-starter with the ability to work independently and as part of a team. • Ability to handle sensitive information with integrity and confidentiality.
